How do Evalandgo webhooks work and how do I set them up?

Webhooks allow Evalandgo to automatically notify your external systems in real time at each stage of a respondent's journey. It's the ideal way to connect your questionnaires to your tools (Zapier, Make, a CRM, a custom application) without manual intervention.

Feature available exclusively for customers with a PRO+ or PRO+ Team subscription.

Create and configure a webhook in 5 steps

  1. Go to the Connector module in your account (main menu → Connector).
  2. Click the Webhooks tab.
  3. Click Create a webhook.
  4. Fill in the following information:
    • Webhook name: a readable identifier (max 50 characters)
    • Callback URL: the address where Evalandgo will send notifications (HTTPS required, max 2,000 characters)
    • Target questionnaire: link the webhook to a specific questionnaire, or leave blank for a global webhook (triggers on all your questionnaires)
    • Events to listen to: check the stages of the respondent journey you want to track
  5. Click Save.

Your webhook is now active and will automatically trigger at the events you selected.

The three available events

A webhook triggers on one of three events in a respondent's journey:

  • started: the respondent has clicked the questionnaire link and is accessing the first page.
  • in_progress: the respondent is progressing through the questionnaire (at each page change).
  • finished: the respondent has submitted their answers and the questionnaire is complete.

Info
You can listen to all three events simultaneously or select only the ones you need, depending on your integration requirements.

The content of the webhook notification

With each event, Evalandgo sends a POST request in JSON format to your callback URL. The payload contains:

  • The respondent's identifier and response history
  • Contact information (email, first name, last name) if available
  • The questionnaire involved (ID and title)
  • The detail of each answer entered (text, choices, score, etc.)
  • Scores or calculations generated by the questionnaire
  • For file attachments: a direct download link that is valid and ready to use, immediately usable by your third-party tool without additional authentication

This notification allows you to process responses in real time in your information system (adding a contact to a CRM, triggering an automation, creating a record, etc.).

Essential rules for webhook delivery

Before connecting your questionnaires, understand the guarantees and limitations of Evalandgo webhooks:

Single send, no retries: each notification is sent exactly once, at the moment of the event. If delivery fails (server unavailable, too slow, HTTP error), the notification is permanently lost. The timeout threshold is 5 seconds.

Don't rely on webhooks as your only source of truth: plan for periodic retrieval via the Evalandgo API to recover any responses missed due to network outages or temporary unavailability.

Calls are not signed (HMAC): treat your callback URL as a secret. Don't use a guessable URL; complement it with a token or private key on your application side if possible.

The active/inactive toggle does not pause sends: there is no pause mechanism. To actually stop a webhook, delete it or remove all events being listened to.

InfoGood to know: Sending errors (timeout, HTTP 4xx/5xx errors, network exceptions) are logged on the Evalandgo server but are not displayed in your interface. If you suspect a problem, contact our support team with the approximate date and time of the incident.

Common use cases

Automatically add a contact to your CRM: set up a global webhook on the finished event pointing to your CRM or to Zapier/Make. When the questionnaire is submitted, Evalandgo pushes the responses (email, name, etc.) to the CRM, where a rule adds the new contact.

Trigger an automation based on the response: via Zapier or Make, listen to the finished event and route to different actions based on response content (for example: high score → send to sales team, low score → send to support).

Log responses in a database: create a webhook pointing to your custom application. With each event, Evalandgo sends the response details, which your application writes to the database in real time.

Frequently asked questions

Why isn't my webhook triggering? Check that (1) your plan is PRO+ or PRO+ Team, (2) the questionnaire is active and accessible, (3) the URL is HTTPS, (4) the event is checked in your webhook configuration.

Are there retries if sending fails? No. The webhook is never resent automatically. If sending fails, the notification is permanently lost.

Can I create a global webhook for all my questionnaires? Yes. Instead of selecting a specific questionnaire, leave that field blank. The webhook will trigger on all questionnaires in your account. (Note: via the REST API, a specific questionnaire remains required.)

Can I route my responses to a marketing automation tool? Yes. Evalandgo sends the event and response details to your URL. It's then up to your tool (Zapier, Make, or your solution) to apply your business logic (segmentation, enrichment, decision, action).

InfoGood to know: Webhooks are particularly powerful when combined with the Evalandgo API. You can enrich data in real time by querying the API for additional information (detailed results, advanced scoring, enriched contacts), while synchronizing via the webhook.
